The Four-Phase Journey

Every CastleCS engagement follows the same four-phase structure, regardless of which Foundation tier or modules you choose. The phases are designed so that you are always informed, always in control, and never surprised — and so that the platform is generating value from week one, not week twelve.

Discovery & Intelligence Gathering (Week 1–2)

We start by building your Client Intelligence File — the structured document that every module draws from. This covers your brand voice, your target customer avatars, your industry vertical and competitive positioning, your business goals and KPIs, your employee structure, and your content themes. We do this through a structured onboarding call and a pre-call questionnaire. You provide the context; we do the analysis.

By the end of Phase 1, we have a complete picture of your business that the platform uses to generate personalized content, configure AI agents, and align every module to your specific goals — not a generic template.

You receive: Client Intelligence File, competitive landscape summary, recommended Foundation tier and module stack, project timeline.

Platform Build & Configuration (Week 2–5)

We build your AI-native platform from the ground up, using your Client Intelligence File as the blueprint. This includes your external website (designed, written, and optimised for both traditional and AI search), your internal organizational hub, your GEO/AI search infrastructure (llms.txt, structured data, schema), and your conversational AI chat agent.

If you have selected Voice AI Reception or AI Sales Agent modules, these are configured in parallel — scripts developed from your brand voice, integration tested with your booking system, and ready to go live at launch. You review and approve at each milestone. Nothing goes live without your sign-off.

You receive: Staging site for review, Voice AI script drafts (if applicable), content calendar for first 30 days, module configuration summaries.

Launch & Activation (Week 5–6)

Your platform goes live. Your domain is pointed, your AI agents are activated, your content publishing schedule begins, and your GEO/AI search infrastructure starts building citation authority. If you are migrating from an existing website, we handle the technical migration, 301 redirect mapping, and SEO equity preservation.

Week 6 includes a launch review call where we walk through everything that is live, confirm all integrations are working, and set the 30-day performance benchmarks we will report against.

Ongoing Management & Evolution (Month 2 onward)

This is where the compounding advantage begins. Every month, your platform is updated, your GEO content is refreshed, your AI agents are optimized from real call and conversation data, and your performance is reported. Every quarter, we review your goals and recommend module additions or adjustments.

You own your domain and your data. If you ever choose to leave, we provide a full handover package. There is no lock-in beyond the initial 6-month Foundation term.

Migrating From Your Current Website

If you have an existing website, the migration process is structured to protect everything you have built. We map all existing URLs to new routes, implement 301 redirects, preserve your SEO equity, and migrate your content. Most clients see their existing rankings maintained or improved within 60–90 days of migration.

How It Works — Common Questions

How long does it take to go live?

Most Foundation builds are live within 4–6 weeks of the onboarding call. Voice AI Reception and AI Sales Agent modules are typically live within 2–3 weeks of the Foundation launch. The Pilot Program is live within 1–2 weeks.

How much of my time does onboarding require?

Onboarding requires approximately 2–3 hours of your time: a 60–90 minute onboarding call, a pre-call questionnaire (30–45 minutes), and a staging site review (30 minutes). After launch, your ongoing time commitment is approximately 30–60 minutes per month to review the performance report and approve content.

What if my goals change?

Your Client Intelligence File is a living document. When your goals change — new service line, new target market, new location — we update the Intelligence File and the platform adapts. This is one of the core advantages of the platform model over one-off projects: it evolves with your business.

How do I know the AI agents are performing?

Every Voice AI call is recorded and available in your client dashboard. Every AI Sales Agent conversation is logged.
